Job Description

A global consulting firm is seeking a highly organized and professional Administrative Assistant to support a dynamic and fast-paced office environment. This is a temp-to-hire opportunity, ideal for a polished and proactive individual eager to grow within a collaborative, team-oriented culture. ***This is an on-site role based in Seattle, WA with hours from 8:30 a.m. to 5:30 p.m., Monday through Friday.

Responsibilities:

  • Productivity Partner: Enhance team efficiency by screening calls, managing email correspondence, and coordinating with clients and vendors.
  • Scheduling Support: Manage calendars and appointments for multiple team members using scheduling tools and software to ensure seamless coordination.
  • Travel Coordinator: Arrange domestic and international travel, including flight bookings, visa processing, hotel accommodations, and detailed itineraries.
  • Meeting & Event Coordinator: Organize internal and external meetings and events, including facility reservations, catering, hotel bookings, and meeting room setup.
  • Document Organizer: Prepare, print, and organize documents for client presentations and proposals; track contracts and archive meeting materials.
  • Expense Administrator: Complete and process expense reports and reimbursements in a timely and accurate manner.
  • Problem Solver: Liaise with internal teams and external stakeholders to troubleshoot and resolve issues with discretion and professionalism.
  • Project Support: Handle special administrative projects under tight deadlines, demonstrating flexibility and follow-through.
  • Front Desk Support: Serve as a reliable back-up for reception duties including greeting visitors, answering phones, and handling mail and deliveries.

Requirements:

  • Minimum of 3 years of administrative or executive assistant experience, preferably in a professional services environment.
  • High school diploma required; Associate’s or Bachelor’s degree strongly preferred.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook); experience with SAP and Concur is a plus.
  • Exceptional written and verbal communication skills.
  • Professional demeanor and appearance with sound judgment and discretion.
  • Strong attention to detail, reliability, and punctuality.
  • Proactive, self-starting attitude with the ability to manage multiple priorities.
  • Comfortable working independently and collaboratively in a fast-paced, high-performance culture.
  • A positive attitude and sense of humor are highly valued.

Salary:

$25–$30/hour
