Job Title: Project/Contract Administrator

Location: Dallas, TX (Hybrid Schedule)

Overview:

We are seeking a detail-oriented and organized Project Administrator to join our team in Dallas, TX. This hybrid position offers flexibility in work locations and a comprehensive benefits package, including company-paid medical, dental, and vision benefits. The ideal candidate will excel at managing administrative and financial processes related to real estate projects, demonstrating a collaborative approach while working effectively with internal teams and external partners.

Primary Job Responsibilities:

  • Draw Requests and Invoice Management: Review draw requests and invoices for completeness, accuracy, and compliance with project requirements.
  • Approval Process: Manage and oversee the approval process to ensure deadlines are met and workflows are streamlined.
  • Yardi Payscan Oversight: Monitor Yardi Payscan workflow approvals, identifying and resolving discrepancies before managerial approval.
  • Project Budgeting: Maintain and update the master list of all active projects, including approved budgets and cash flows, on a monthly basis.
  • Job Cost Reporting: Oversee Yardi job cost functions, such as entering budgets, processing budget modifications, and ensuring contracts and change orders are correctly reflected by joint venture partners.
  • Administrative Support: Perform additional administrative functions as necessary to support daily operations.

Minimum Qualifications:

  • Experience: At least three years of administrative experience in a professional setting.
  • Education: High school diploma required; associate degree or accounting coursework is a plus.
  • Skills:
  • Strong attention to detail and ability to prioritize tasks with minimal supervision.
  • Exceptional organizational and communication abilities.
  • Collaborative relationship-building skills with team members.
  • Problem-spotting and resolution skills.
  • Software Proficiency: Experience with Yardi software is a plus.
  • References: Must provide strong employment references.
