Job Description

Essential Duties & Responsibilities

  • Provide professional support and operate as a trusted advisor across a multitude of topics specific to the Research and Development environment.
  • Exercise sound judgment in diverse situations, with strong written and verbal communication, administrative, and organizational skills, with the ability to prioritize competing requests and timelines.
  • Manage scheduling of calendars, able to deal with multiple changes and meeting conflicts.
  • Arrange travel logistics (transportation, flights, accommodations) and be on-call to troubleshoot disruptions.
  • Administer travel and expense reporting for the R&D leadership team.
  • Establish and manage relationships with internal and external constituents to effectively juggle requests and mitigate frustration.
  • Partner with cross-functional peers to manage special projects and prepare for executive and Board meetings.
  • Maintain detail-oriented focus while multi-tasking and prioritizing projects with minimal guidance.
  • Demonstrate the highest possible degree of professionalism, confidentiality, and sound judgment.
  • Coordinate, organize, and prepare executive, Board, and other presentations and documents.
  • Coordinate on-site/off-site meetings, special events, and conferences including facilities and caterers, invitations, speakers, budgets, etc.
  • Protect confidential company information and always exhibit integrity.
  • Partner with the R&D and CMO Chiefs of Staff to onboard new employees.
  • Compose and prepare confidential correspondence, reports, and other complex documents.

Skill & Education Requirements

  • Bachelor’s degree and 10+ years of executive assistant experience, including 5+ years supporting C-suite bio-pharma executives.
  • Experience and comfort working in a fast-paced, dynamic organization.
  • Positive and collaborative attitude even when under pressure.
  • Demonstrate sound judgment and escalate relevant information to appropriate leadership in a timely manner.
  • Superior communication skills (both verbal and written).
